OVERVIEW

The Operations Support Coordinator provides strong administrative support to both the Chicago and Calumet facility by conducting research, preparing reports, handling information requests, tracking data and performing clerical functions.

 

DETAILED ROLES & RESPONSIBILITIES

  • Assist in tracking and recording data and preparing daily, weekly or monthly reports.
  • Update and maintain metrics boards.
  • Use SAP to process requests for materials or services, and to perform service entries for invoices.
  • Various administrative duties such as ordering supplies and time keeping administration.
  • Provide back-up to production supervisors for Kronos time keeping and maintenance.
  • Back up support to other Operations Coordinators
  • Assist in preparation of monthly, quarterly and annual physical inventory.
  • Maintain or create process to maintain purchasing to track accruals purchases and accruals properly.
  • Research and complete material number requests in CMDM.
  • Set up and maintain Facility online Database of Material Safety Data Sheets (MSDS/SDS’).
  • Answer/direct phone calls and greeting visitors/contractors
  • Support the leadership team on an as needed basis.
  • Serve as administrative lead and training facilitator for special projects (i.e. wellness and safety) as needed.
  • Open, sort, and distribute incoming correspondence, including faxes, mail and email.
  • Maintain files and record keeping for the facility.
  • Be able to provide backup support in absence of other operations coordinator(s) and supply chain functions as needed.


WORK EXPERIENCES

  • 3-5 years in an operations support role preferred
  • Previous experience in a fast-paced manufacturing environment preferred
  • Previous experience with SAP and/or Ariba strongly preferred

 

EDUCATION REQUIREMENTS

  • High school diploma or GED required; associate's degree preferred.
  • The ideal candidate will have 3 to 5 years of experience in an operations support function such as inventory, planning, purchasing, etc.

  • Demonstrated ability to create and analyze Microsoft Office documents is required, specifically Excel.
  • Detail oriented with highly evolved organizational skills, effective time management and proven follow through.
  • High level of professional maturity, presence and experience working with high level leadership.
  • Superior written and oral communication skills. Ability to communicate cross-functionally and to all levels within the organization.
  • Ability to work autonomously, anticipate needs and solve problems.
  • Demonstrated ability to adapt to change; flexible when priorities shift.
  • Ability to interact with internal and external business partners.
  • Able to excel in a fast paced work environment, multi-task to meet deliverables with limited supervision.
  • Ability to work overtime as needed
  • Travel 0-10%
