POSITION SCOPE

To be the first point of contact for visitors to Bedford Street Office and to provide administrative support as required.

 

POSITION OBJECTIVES AND KEY DELIVERABLES

  • Security passes arranged in advance where prior notification has been given.
  • Challenge people entering site who are not familiar.
  • Smooth running of post and DHL functions.
  • On time deliveries and collection of courier mail.

 

DETAILED ROLES & RESPONSIBILITIES

  • Manage all in-coming calls efficiently and effectively, passing on all relevant messages in a timely fashion.
  • Meet and greet visitors at Bedford Street and to notify their contact of their arrival.
  • Issue visitor’s passes.
  • Update the daily on site personnel list for health & safety purposes.
  • Arrange transport as required and keep a log for monthly report to Office Manager
  • Provide an ad-hoc administrative service and support PA’s and administrators where necessary.
  • Keep photocopiers, printers and other electrical office equipment stocked and maintained.
  • Maintain stock of leaflets and magazines in the reception area and ensure the area is kept neat and tidy at all times.
  • Manage the meeting room booking system and ensure rooms are fit for purpose
  • Support the PA’s/catering teams setting up refreshments/lunch for meetings
  • Assist the setup of video conferencing systems.
  • Organise the daily postal service.
  • Control the receipt and dispatch of same day courier documents/packages.
  • Control the daily dispatch of DHL Express packages from all departments and keep a log for the Office Manager.
  • Inform the Office Manager of any maintenance issues as soon as they arise.
  • Maintain and stock the kitchen facilities.
  • Keep track of the monthly office safety audit
  • Liaise with the Office Manager on any health and safety issues
  • Update the intranet system with any notices relevant to the Bedford Street office
  • Encourage volunteering support to the Company Community Partners & supporting the OM with Charity fund raising.
  • Maintain the first aid box and accident book and inform the Office Manager of any incidents

 

ESSENTIAL CAPABILITIES (KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL ATTRIBUTES)

  • Knowledge of Microsoft Word and Excel
  • Experience of using SAP beneficial, or capability to learn.
  • Professional and courteous manner.
  • Smart appearance and well-spoken.
  • Possess professional and confident disposition.
  • Ability to work under pressure.

 

ESSENTIAL WORK EXPERIENCES

  • Experience of working in a Head Office Corporate environment.
  • Experience in the operation of a post room
