Assistant Property Manager

FCI Residential is a part of Florida Crystals Corporation’s real estate division, which focuses on multi-family residential development in urban and in-fill areas.  The real estate division currently has approximately 3,300 units in the development process throughout Florida.

 

POSITION SCOPE

Responsible for ensuring the efficient operation of the property under the direction of the Property Manager. Able to assume responsibility for the property in the absence of the Property Manager and Leasing Professional.

 

DETAILED ROLES & RESPONSIBILITIES

  • Participate in outreach marketing activities on a regular basis to obtain prospective residents
  • Advise residents of referral program (if permitted)
  • Assist in placing, removing/updating banners, balloons, bandit signs, A-frame signs, flags etc.
  • Distribute newsletters, pamphlets, flyers etc.
  • Conduct Market Surveys and shop competitive communities
  • Self-starter, who takes initiative, works well independently. 
  • Sound technical skills, analytical ability, good judgment and strong operational focus.
  • Ability to establish credibility throughout the organization with both management and employees.
  • Ability to coordinate and perform multiple projects simultaneously. The ability to organize and prioritize workload is essential.

 

ESSENTIAL CAPABILITIES (KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL ATTRIBUTES)

  • Assisting the Property Manager in interviewing, screening and hiring of any potential employee for all departments
  • Assisting the Property Manager in subsequent orientation, training and scheduling of all office personnel
  • Responsible for the inventory and ordering of all necessary administrative supplies and equipment for the management department
  • Assisting the Property Manager in any disciplinary or promotional recommendations with regard to all office personnel
  • Responsible for ensuring a professional appearance and manner for oneself and all personnel at all times
  • Thorough knowledge of management company policies and procedures and property community policies
  • Responsible for the efficient and timely reporting, maintenance and submission of all administrative forms, files and reports
  • Responsible for posting rent to the resident ledger to use as a current tracking system for payments
  • Contacting residents for rent collection
  • Responsible for ensuring contact with business and locator services, and ensuring availability of promotional materials
  • Ability to secure a high percentage of the properties overall closed leases
  • Maintain thorough product knowledge of the property, sister properties and competitors
  • Assist manager in developing and implementing effective marketing strategies to increase property traffic and internet leads
  • Convert phone calls to tours, property tours to leases and internet leads to tours and/or leases
  • Ensure guest cards are complete, entered into the property management software and follow up is completed for prospects
  • Ensure leasing office, tour path, model apartment, vacant apartments, amenities and general curb appeal of community is pleasing to all 5 senses and is impeccably clean, if necessary spot clean to maintain the high standard of which FCI will become synonymous for
  • Responsible for ensuring efficient and courteous response to all resident requests
  • Manage and resolve resident concerns
  • Monitor work orders and constantly communicate with maintenance staff to ensure 24 hour guarantee
  • Plan, organize and conduct resident functions as needed and as directed by the Property Manager
  • Distribute newsletter, flyers, letters etc.
  • Meticulous attention to detail.
  • Ability to troubleshoot desktop and infrastructure issues and resolve complex problems.
  • Ability to exercise judgment and discretion in applying and interpreting department rules, regulations, policies, and procedures.
  • Strong written and oral communication skills.
  • Ability to establish and maintain effective working relationships.

 

ESSENTIAL WORK EXPERIENCES

  • Two years minimum experience in residential property management or related field as required.

 

ESSENTIAL EDUCATION REQUIREMENTS

  • HS Diploma is required. 
  • Associates degree in related field is a plus.
